LOS ANGELES PROGRAMS OFFICE AND VOLUNTEER COORDINATOR Reports to: Los Angeles Programs Manager Location: Los Angeles, CA FLSA status:Exempt
Position Summary: Act as the main point of contact between the Best Friends Animal Society LA Programs office and the general public both in person, over the telephone and by email. Present a positive, courteous and professional disposition and appearance. Also, responsible for keeping the office running smoothly and assisting other staff as necessary.
Essential Duties:
- Work with LA Programs Event Specialist to determine volunteer position needs and aggressively recruit volunteers in a timely manner based on skills, experience and interest of volunteers
- Conduct volunteer orientations and assist with initial volunteer training to prepare volunteers for their individual tasks
- Provide the daily supervision of assigned volunteers that supports their ongoing success and motivates them to continue with the program, potentially accepting leadership roles
- Assist in developing project measurements and evaluation processes
- Follow-through with volunteers to thank them for their efforts and keep them engaged and active in their positions
- Coordinate, along with supervisor, any new projects that require volunteer support
- Act as Volunteer Chair on special events committees
- Ensure the smooth daily operation of LA Programs office, including but not limited to: stocking and ordering necessary office supplies, ensuring office equipment is maintained and repaired as necessary, dropping outgoing mail, distributing incoming mail and phone messages to staff, answering telephones, general phone messages, e-mails and mail regarding Best Friends L.A. and its programming.
- Responsible for keeping a data base of all contact with the public and the outcome of each contact.
- Responsible for daily management and entry of membership information. This includes but is not limited processing and fulfilling donations, sending thank you letters, and returning member phone calls
- Responsible for assisting all Los Angeles Programs staff as necessary
- Responsible for coordinating new employee orientations with Best Friends HR including facilitation of providing all new employees with an employee handbook, necessary health and dental insurance forms, office keys, and other relevant information
- Responsible for keeping the LA staff list and contact info sheet updated and distributed to all staff members and Best Friends Staff as necessary
- Responsible for keeping the minutes at staff meetings and for distributing the minutes to all staff members by email
- Responsible for coordinating and compiling the LA Programs calendar in monthly segments of 3, at least 3 months in advance and distributing to staff via e-mail once a month
- Keep records adequate according to accepted accounting practices
- Provide monthly financial report for Best Friends L.A., including overall profit and loss statements
- Provide managers with a weekly profit and loss statement and any other necessary budget updates
- Solicits monthly expense reports from BFLA staff
- Handles the daily working of the accounting system, including accounts payable, accounts receivable, purchase order flow, timely QuickBooks entry, timely deposits, credit card processing and reconciliation, returned check collections, processing of employee reimbursement requests, and weekly expense reports
- Maintain files of all invoices, returned checks, employee reimbursement forms, and financial records and keep said files orderly, accessible and up to date
- Reconcile BFLA books monthly
- Work with event staff in planning and setting up payment systems at functions to ensure that all accounting requirements are met. This includes record keeping, assisting with devising a system for processing funds received, and assembling deposits and payables
- Alerts Programs Manager to any immediate items including cash flow, large donations, grants, sponsorship revenue, banking issues, and unusual expenditures
- Provides any financial reporting information necessary for grants and sponsorship
- Keep state sale tax exemption certificates on hand and issue to employees and/or vendors upon request
- Provide proof of non-profit status (Letter of Determination, State Tax Exemption, etc.) to staff and vendor as needed
- Any other duties and deemed necessary by Programs Manager
Experience/Requirements:
- At least two years administrative experience to include bookkeeping. Volunteer or Human Resources recruitment experience a plus
- Strong interpersonal skills. The ideal person for this job would be a team player, personable, professional, and able to get along well with a variety of people
- Professionally advocate Best Friends' positions on issues
- Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
- Proven project management, financial planning and forecasting experience with track record in attaining stated goals
- Strong written and oral communication skills
- Excellent organizational skills. Attention to detail
- Ability to consistently meet deadlines
- Proficiency with QuickBooks, MS Office applications, especially Word, Excel, and Outlook.
- Comfortable learning and using online information systems
- Flexible and enjoys handling a variety of tasks
- Valid Driver's License with access to transportation to travel on organization business
Physical Requirements:
- Ability to participate in events including nights and weekends and assist in the set-up and breakdown of events, which may involve moderate physical exertion.
- Extended work at a computer with repetitive typing, arm and hand motion
- Periodic trips to various out-of-state locations such as Kanab, Utah which may require use of public transportation

FELINE MEDICAL SUPERVISOR Reports to: Best Friends Clinic Manager/Cat World Manager Location: Kanab, Utah FLSA status: Exempt Position Summary: Working closely with vets and the Clinic, the Happy Landings Supervisor will oversee all aspects of the medical care of the cats at Best Friends Animal Sanctuary. He/she will oversee the activities of the medical team and work with other Team Leaders to ensure the proper care for all the cats. He/she will coordinate workflow, control work procedures, provide training, and act as liaison with management. He/she will provide guidance to team members as well as problem resolution promoting world class animal care. Essential Duties:
- Work with team members to coordinate workflow. Responsible for ensuring all work is performed in an efficient and high-quality manner consistent with world class animal care.
- Cultivate mentoring relationships with Happy Landings team members and act as point person for Best Friends Clinic staff.
- Supervise the daily activities and operations of Happy Landings.
- Ensure training of new hire staff in all aspects of medical care and provide feedback to management.
- Participate with appropriate managers in the performance management/performance appraisal process for Happy Landings staff.
- Oversee the medical records, both paper and electronic, for all cats.
- Be proficient in use of in-house database to access cat information.
- Relate to caregivers and Cat World management regarding the health of the cats.
- Assist the veterinarians in feline handling and general treatment. This includes communicating with them about the cats medical needs and progress.
- Act as liaison between veterinarians and caregivers.
- Act as liaison with adoption staff and oversee the medical aspects of adoption preparation.
- Oversee the admission process for new cats.
- As required, relate to the public on all aspects of cat care.
- Have knowledge of the individual cats in order to best contribute to decisions on their medical care.
- Monitor the health of the cats.
- Ensure patient care of hospitalized animals.
- Perform chart reviews and update the treatments database.
- Participate in end-of-life decisions.
- Other duties as assigned or required.
Experience/Requirements:
- Medical knowledge of cats/experience a plus.
- Demonstrated leadership skills. Prior supervisory experienced required.
- Knowledgeable of cats, cat care, and handling of cats.
- Minimum of one year Best Friends, Cat World work experience or equivalent external experience.
- Strong interpersonal skills to handle sensitive and confidential situations. The ideal person for this job would be a team player, positive, personable, upbeat, and energetic, takes initiative, and uses tact and diplomacy.

Physical Requirements:
- Must be able to routinely lift 40 to 50 pounds.

MAJOR GIFTS OFFICER - West Coast Reports to: Major Gifts Manager Location: Los Angeles or San Francisco FLSA status: Exempt Position Summary: The Major Gifts Officer in each region will be responsible for building a major gifts program for the assigned region. This position will be instrumental in establishing, implementing and promoting the goals of Best Friends Animal Society, raising funds, creating strong and solid relationships with significant prospects and donors and promoting the overall goals of Best Friends. Essential Duties:
- Raise major gifts of $10,000 and above.
- Identify and cultivate new relationships with prospects and donors, assist prospect research, donor correspondence, the acknowledgement process and stewardship of donors.
- DeVelop and maintain a major gifts portfolio of 100-125 major gifts prospects.
- Understand and match the needs and objectives of prospective donors with the fund raising goals of Best Friends.
- Coordinate and work with national staff in Utah.
- Work and interact with respective local program staff and participate in special events, with a focus on and promotion of major gifts.
- Help build a volunteer base in the local region.
- Other duties as assigned.
Experience/Requirements:
- Bachelors Degree or equivalent related experience.
- Qualified candidates currently residing in Los Angeles or San Francisco preferred.
- Minimum of 5-7 years development experience, with successful experience in major gifts fundraising in a non-profit organization, preferably in a regional setting.
- Understanding of Planned Giving principles and vehicles, and ability to coordinate interactions with donors and planned giving officers to facilitate a gift.
- Familiarity with the regions philanthropic and business communities.
- High level of communication skills to express Best Friends' mission and fund raising objectives orally, and in writing to varied audiences, including potential donors and community members.
- Travel to meet with prospects and donors in the region and attend meetings at the sanctuary in Utah as required.
- Computer skills and knowledge of fundraising computer programs.
- Valid Driver's License and access to transportation to travel on organization business.
